Update 53: Tips&Tricks: start and end date

How is it actually with the start and end date for licenses? This question comes up again and again in leadhub support. Therefore, we would like to take a closer look at the issue of product runtimes in these release notes.

Everything has an end - and a beginning
No matter if you assign a new license for a listing, for a SEA campaign or for a website to one of your locations - for all leadhub products, you will be asked for the duration that the corresponding product should have at this location. As soon as you click on "Assign license", leadhub automatically enters the current date as the start date. You can select a later start date via the calendar icon. As end date leadhub initially enters "unlimited", if this is not the case for your selected license, you can also select a future date via the calendar icon. For the listing product, for example, the synchronization to the portals will start from the start date. With a daily start date, the initial sync can take up to 48 hours. So don't be surprised if your listing is not immediately visible on all portals.

But you still have other ideas?
After saving the license, you can still change both the start and end date, but only if the respective date is not in the past. Logical: Even leadhub can't change the past ;-)

When does it make sense to create a follow-up license?
Your customer has renewed his contract? Congratulations! If the term of the new contract seamlessly follows the term of the old contract, you can simply set the end date of the existing license into the future and the product will continue to run without interruption. In this case, it makes no sense from leadhub's point of view to create a follow-on license. On the contrary, a subsequent license would rather cause trouble here. Example listing: Yext would automatically detect the duplicate and the second license would fail.

It is different if there is a time gap between your two licenses. In this case you can't avoid to create a new license because you can't update the start date of your first license which is in the past. Tip: Using the button "Copy license" will save you time - especially if you have to make a lot of individual settings for your license. Example banner: When copying the license, leadhub automatically takes over the targeting settings and the content of the ad.

And if you want to stop before?
You can end a license early in leadhub by changing the end date accordingly or by clicking the "Remove" button. But beware, not every product is ended immediately, which has to do with the billing modalities of partner providers, among other things.

SEA campaigns, for example, are linked to a defined budget cycle. leadhub therefore shows you a message about five minutes after you click on "Remove" that the license is still active until the date "YYYY-MM-DD".

Listing licenses are also bound to a contract period before the paid contract with Yext can be terminated. Only when the contract period has expired, the synchronization of the portals also ends. The location data on the portals will remain and will not be deleted automatically. The individual portals receive the info from Yext that the contractual relationship has ended and thus also the release of the data. This process takes some time and the duration varies depending on the portal.

I cannot assign a license and get an error message. What is the reason for this?
In order for a license to be assigned to a site, the respective product must be created in the admin area and a contract must be defined that contains the product. The contract can be for a single company or for all companies in a workspace. When defining the contract, the start and end date can be defined. A license contained in the contract can only be booked within the defined period, otherwise leadhub will show you an error message.
